Job Description

Key Responsibilities

  • Supervise the day-to-day administrative operations of the company.
  • Lead, mentor, and evaluate administrative and support staff.
  • Develop, implement, and improve office administrative systems and procedures.
  • Manage office facilities, maintenance, security, utilities, and housekeeping services.
  • Coordinate procurement of office supplies, equipment, and services while ensuring cost efficiency.
  • Maintain office inventory, fixed assets, and administrative records.
  • Liaise with vendors, contractors, and service providers to ensure timely and quality service delivery.
  • Prepare and monitor departmental budgets and administrative expenditures.
  • Coordinate meetings, travel arrangements, accommodation, and company events.
  • Maintain accurate filing systems and ensure proper document management.
  • Support Human Resources with onboarding, employee administration, and staff welfare activities.
  • Ensure compliance with company policies, occupational health and safety standards, and applicable legal requirements.
  • Prepare periodic management reports and recommend process improvements.

 

Qualifications

  • Bachelor's degree in Business Administration, Public Administration, Management, or a related field.
  • Minimum of five (5) years of experience in administration, including at least two (2) years in a supervisory role.
  • Experience in manufacturing, engineering, telecommunications, or technology companies is an added advantage.

 

Required Skills and Competencies

  • Strong leadership and team management skills.
  • Excellent organizational and planning abilities.
  • Strong communication and interpersonal skills.
  • Excellent problem-solving and decision-making skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
  • Experience using ERP or office management systems is an advantage.

 

Preferred Qualifications

  • Experience working in multicultural or international business environments.
  • Experience supporting operations involving South Asian suppliers, clients, or business partners is an advantage.
  • Fluency in English is required. Knowledge of Hindi or Urdu is an added advantage.
  • Ability to adapt to diverse working environments and collaborate effectively with international teams.
